Privacy policy

Last updated 6 October 2026

This policy explains how WareMates handles your personal information when you use this website or contact us. We follow the Australian Privacy Principles in the Privacy Act 1988 (Cth).

Who we are

WareMates is a software business based in Perth, Western Australia, run by Franco Gallegos (ABN 46 337 270 780). In this policy, “we” and “us” mean WareMates. You can reach us at info@waremates.com or on 0485 690 779.

What we collect

  • When you book a discovery call: your name, email address and message, where you’d like to meet, and your business name and phone number if you give them.
  • When you ask a question: your name, the email address or phone number you give us, and your question.
  • When you email, phone or meet with us: your contact details, whatever you choose to tell us, and our notes from the conversation.
  • When you visit the site: our web server keeps a technical record of each request (the page, the time and the result), without your IP address or browser details.
  • Only if you accept analytics cookies: information about how you use the site, collected by Google Analytics (see Cookies and analytics).

We don’t ask for sensitive information, such as health details, and we ask you not to send it. If you’d rather not give us your details, we may not be able to reply to you or arrange a call.

Dealing with us anonymously

You can browse the site without telling us who you are. You can also ask a general question without giving your full name, as long as you leave an email address or phone number so we can reply.

Why we collect it

  • To reply to your enquiry, arrange and hold a discovery call, prepare a quote and follow up on what we discussed.
  • To run the website, keep it secure and fix problems.
  • If you accept analytics cookies, to see how people find and use the site so we can improve it.

We don’t add anyone to a mailing list, and we don’t sell personal information.

Who we share it with

Only the two founders read enquiries. We use four service providers, who handle information for us:

  • Web3Forms, which receives what you type into our forms and emails it to us.
  • Zoho, which provides our email.
  • Hetzner, which provides the server that hosts this site and its logs.
  • Google, which provides Google Drive (where we keep call notes and quotes) and, only if you accept analytics cookies, Google Analytics.

We may also share information if the law requires or allows it. Otherwise, we don’t share your details with anyone else.

Information sent overseas

All four providers are likely to store or process information outside Australia. Zoho stores our email in the United States. This site and its server logs are on a Hetzner server in Germany. Google may store our Drive files and process analytics data in the United States and other countries.

Cookies and analytics

The site doesn’t set any cookies unless you accept analytics cookies. When you first visit, a banner asks whether we can use Google Analytics. Nothing is sent to Google before you accept.

If you accept:

  • Google Analytics sets two cookies, _ga and one starting with _ga_, which recognise repeat visits and last up to two years.
  • It records the pages and sections you view, how far you scroll, how you reached the site (for example, from a search), your approximate location, and your device and browser type. It also records actions such as clicking a button, opening a question in the FAQ, starting or sending a form, tapping our phone number or email address, and following a link to another site. If a form shows an error, it records which fields need fixing, but never what you typed.
  • Google Analytics doesn’t log or store IP addresses. We’ve turned off ad personalisation and Google signals (which would link visits to people’s Google accounts), and we don’t use this data for advertising.
  • Google deletes the detailed analytics data after 14 months. Totals, such as visits per month, can be kept longer.

Your choice is saved in your browser for 12 months, and then we ask again. To change it at any time, use “Cookie settings” at the bottom of any page. If you withdraw consent, analytics stops and its cookies are deleted.

Google explains how it uses information from sites that use its services at policies.google.com (external site).

How we keep it secure

The site and its forms use encrypted connections. Only Franco can log in to the inbox that enquiries go to. The web server doesn’t store your enquiries or your IP address. Call notes and quotes are kept in our Google Drive. We choose providers that protect the information they handle for us.

How long we keep it

We keep your messages, call notes and quotes for as long as we need them to deal with your enquiry, any work that follows and our business records. Then we delete them. Server logs are deleted each time we update the site and never grow beyond 30 MB. Detailed analytics data is deleted after 14 months.

Seeing or correcting your information

You can ask for a copy of the personal information we hold about you, or ask us to correct or delete it. Email info@waremates.com or call 0485 690 779. There’s no charge. We may need to confirm who you are first, and we’ll reply within 30 days. If we can’t do what you ask, we’ll tell you why in writing.

Questions or complaints

If you’re concerned about how we’ve handled your information, contact us first and tell us what happened. We’ll reply within 30 days. If you’re not happy with our response, you can find out about your privacy rights from the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au (external site) or on 1300 363 992.

Client systems

This policy covers this website and enquiries to us. Information held in systems we build for clients is handled under our agreement with each client.

Changes to this policy

If we change how we handle personal information, we’ll update this page and the date at the top.
